The short answer

Include the recipient, deadline, suggested length, and recording link in one message. Start with a template, then make it sound like an invitation from you.

01

Replace these four details before sending

  • Replace [name] with the recipient’s name.
  • Use an exact date, time, and time zone for the deadline.
  • Insert the recording link, not the management or listening link.
  • Check that the recipient is not included in the invitation thread.

Farewell · a gentle reminder

Farewell · a gentle reminder

We’re wrapping up [name]’s farewell card on [date, time, time zone]. If you’d like to add a voice message, here is the link: [recording link] Thank you to everyone who has already sent one. No pressure if the timing does not work for you.

06

Make the request easier before sending more reminders

A smaller request is often more useful than another “Have you done it yet?” Explain that one sentence is enough. Leave room for people to decline if recording does not work for them.

If you send example messages, ask contributors to choose a real memory of their own. A group of different voices does not need an identical script.
